Transcribing Salutations and Closings

Salutations and closings provide information about the relationship between the author and recipient. A correspondence that begins “Dear Miss Addams,” may be, years later, “Dearest Jane.”

Salutations

We will render the salutation as written, maintaining case and punctuation.

Examples

Dear Miss Addams,

Dear Jane,

Mother—

My dear sir,

Closings, including the signature, will be typed as they appear on the letter. If the name is typed again after the signature, type it twice in the transcription.

We do not transcribe the initials of secretaries that sometimes appear at the bottom of the letter.
